The Customer Relationship Management (CRM) Specialist will support our Global Engagement Channel Team in the overall marketing CRM strategy. Your role is to be the go-to person for CRM and how it is used to enable the business plan to succeed through more effective and efficient ways of working and engaging with our broad range of target audiences. The CRM unit provides operational guidance for country programmes, along with both technical and compassionate support for UNDP workers. Role & Responsibilities CRM Systems and Applications Understand current CRM practices, identify gaps, recommend CRM system development and ideal state. Assess various options for customizing and optimizing the systems to meet ambitious business needs/targets. Assist in creation of long-term strategic goals. Monitor data quality, data migrations, and support data integration activities for audience engagement and management reporting. Training and Support Support and empower different stakeholders by proposing marketing-oriented solutions to their business requests. Provide relevant training, including documentation, to ensure team proficiency with the systems. Work closely with various team members to review implementation in order to better bridge the gap between systems, users and engagement opportunities. EDUCATION/EXPERIENCE/LANGUAGE REQUIREMENTS Education: Minimum Bachelor degree in Computer Science, Business, Management Information Systems. CRM qualification or equivalent job experience. Language Requirements: Fluency in English both oral and written, is required; Working knowledge of another UN official language, including French, Portuguese or Spanish is an asset but not a requirement. Experience / Competencies: Minimum 5 years working experience in CRM, Marketing, or related Marketing support functions. To help the UNDP Project Management Unit (PMU) deliver in a timely and quality assured manner on the Grant Performance Framework targets, while complying with UNDP and Global Fund rules and regulations, UNDP is recruiting a Senior Finance Accountant who will lead on financial management within the PMU. Under the overall guidance of the Programme Coordinator/Head of Unit, the Senior Finance Accountant is responsible for ensuring the highest efficiency in financial resources management; the provision of accurate, thoroughly researched and documented financial information; the effective delivery of financial services; and transparent utilization and management of the GF grants. The Senior Finance Accountant will lead a team of four (4) Senior Finance team staff while ensuring strong coordination with Programme and Procurement teams for the effective management of programme budgets. The Senior Finance Accountant will work in close collaboration with UNDP Sub-recipients (SRs) and sub-sub recipients (SSRs), the Country Office Operations Department, and other teams in the Country Office in ensuring successful implementation and oversight of GF programme resources and Country Office performance in finance. In addition, the Senior Finance Accountant will play the lead role in capacity development in financial management systems for national counterparts. DUTIES AND RESPONSIBILITIES Ensure effective and accurate financial resources management and oversight, focusing on achievement of the following results: Proper planning, expenditure tracking of financial resources in accordance with UNDP rules and Ensure quarterly certification of all accounts including advance of funds, Direct Project Costing (DPC), Project Cash Advance etc.; Monitor the financial execution of the procurement component of Grants’ budgets; Prepare cost estimates for different activities according to the needs of programme management; Develop, track and report to PMU management key financial performance indicators; Help maintain a document management system for PR and SR financial records; Ensure the implementation of operational strategies and procedures, focusing on achievement of the following results: Establish and/or ensure robust financial procedures: e.g., receipts, payments, disbursements and bookkeeping, filing procedures for Sub-recipients; Ensure that financial procedures in place comply with the financial/accounting and procurement requirements of the Global Fund and UNDP; Continuous analysis and monitoring of the financial situation, presentation of forecasts for the projects; Oversight for the transparency of the financial processes and use of funds and compliance with Global Fund and UNDP financial guidelines; Timely preparation of monthly cash flow forecast for use by the Country Office Operations Unit in Liaison with other Implementing partners. UNDP Advance Accountancy and Finance Test (AAFT), and subsequent FTCP Certification required, or Accounting/Finance qualification per Supplemental Recruitment Guidance for UNDP Finance Functions (2019). Professionally qualified accountants from an internationally recognized institute of accountancy will have a distinct advantage. Experience: Minimum 5 years of relevant experience in providing financial management advisory and training services and/or managing staff operational systems. Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and advance knowledge of spreadsheet and database packages, experience in handling of web-based management systems and ERP financials, preferably PeopleSoft. Experience of IPSAS and/or IFRS is required for external candidates. Work Experience: Relevant experience is defined as experience in the area of environmental, health, or safety management systems. Experience in any mine action, civil or industrial construction, manufacturing or similar production environments is required. Experience in the delivery of environmental and health and safety management systems (preferably certified) in construction, manufacturing, mining or similar production environments is desired. Relevant experience working in developed or developing countries is required. Purpose for the job The Mechanical Engineer will be responsible for providing a variety of specialized tasks, ensuring accurate and timely delivery that is in compliance with the UN Agency’s rules and regulations. The Mechanical Engineer will assist the project team and logistics division in procurement of mechanical machinery and equipment. Review designs of the construction activities, and bring to the attention of the Project Manager any issues that might affect the technical soundness of the works; check and review the shop drawings as submitted by the contractor. Provide daily supervision tasks of the construction activities to ensure that works are implemented in accordance with the designs and technical specifications. Supervise contractors’ performance in all matters related to safety and workmanship at the project site. Closely monitor the progress of the construction works and ensure compliance with the construction schedules and, where needed, bring to the attention of the Project Manager, and the contractor any delays in the schedule. Measure and accurately record the quantities of the executed works, and check interim payment requests submitted by the contractor for completed works. Assist the Project Manager in conducting regular assessment of contract quantities to ensure they do not exceed allocated contract amounts. Verify the contractor’s material and equipment submittals versus the specified ones, and provide feedback to the Project Manager with all information’s necessary for the approval of material and equipment submissions. Request regular testing of different material used in the works. Assist the Project Manager in the review and evaluation of suggestions made by contractors for modifications to the drawings or specifications. Assist in implementing the project activities in accordance with the objectives and outputs and ensure the implementation of all components as per the UN guidelines and standards. Participate efficiently and transparently in the process of selecting and evaluating beneficiaries’ applications, technical evaluation of the target areas and cost estimates of many activities. Monitor all aspects of project implementation and its progress and undertake periodic field visits to project sites to identify and analyze and resolve technical, operational and financial issues. Ensure the achievement of outputs in line with the approved work plan through the day-to-day planning, management coordination and implementation of activities. Reporting and participation at coordination meetings. Participate in regular site coordination meetings with all technical project personnel, counterpart engineers, contractors, and suppliers to discuss project matters, and prepare the minutes of such meetings Verify and record the daily site reports submitted by contractors, and prepare monthly progress reports for the construction activities in line with the projects planning, reporting and monitoring guidelines and the requirements of the project document. Issue site instruction memos to contractors for any technical matter related to the construction works or to any matter related to the safety of the works or personnel at the project site. Participate in the committee for final inspection and handover of the construction works. Assists in the performance testing and commissioning of equipment. Review and checking the as-built drawings for the completed works. Enhance the management structures and help to improve or establish communication and coordination mechanisms and procedures among the various stakeholders. Maintain close cooperation and coordination with other implementing agencies in target locations. Maintain accurate project documentation. Ensure proper filing on site for all correspondence, minutes of sites meetings, equipment and material submissions, site instructions, information and drawings issued subsequent to the start of the contract, as well as clarifications and interpretations of the contract documents, progress reports and any other related documents. Ensure accurate maintenance of the project documentation including any variations and adjustments made during the project implementation. Maintains detailed documentation of all mechanical engineering activities. Perform other duties as required.
